You've got documents. Lots of them. And right now, they're probably costing you time, space, and peace of mind. You know digitization is possible. You might even know we do it. What you need now is straight answers about whether we're the right fit, and whether it's worth doing at all. That's what this FAQ is for.
We deliver in the formats your team actually uses.
| Format | What It Is | Best For |
|---|---|---|
| PDF/A | Long-term archive PDF | Legal, government, compliance |
| Searchable PDF | PDF with a text layer | Finding specific words fast |
| JPEG / PNG | Image files | Simple storage |
| TIFF | High-quality image | Professional printing |
| Microsoft Word (.docx) | Editable text | When staff need to work with the content |
Most clients choose PDF/A or Searchable PDF. We recommend Searchable PDF, it looks like a document but you can search it like text. No more flipping through image-only scans.
Note: We don't lock you into one format. Tell us what you need and we'll deliver it that way.
It depends on how much you have, and how organised it is to start with.
| Volume | Typical Turnaround |
|---|---|
| Under 500 pages | 3–5 business days |
| 500 – 5,000 pages | 1–2 weeks |
| 5,000 – 20,000 pages | 3–4 weeks |
| 20,000+ pages | Custom timeline |
What slows things down:
What speeds things up:
We give you a firm timeline before we start. Not an estimate that drifts.
With the same care we would want for our own records. Here's exactly what we do:
During scanning:
After scanning:
For regulated industries: We work with law firms, medical practices, credit unions, and government agencies. We understand attorney-client privilege, medical confidentiality, and T&T Data Protection Act obligations. We can provide additional documentation for compliance audits.
We handle jobs of all sizes. Really.
Our minimum scanning charge is TTD $X per box, so even a small job is worth doing if those documents matter to you.
The honest truth: If you only have 200 pages, it may cost more per page than a big job. But you still get the same quality, the same security, and the same local support. For small businesses or solo professionals, we can sometimes combine your job with another nearby client to reduce costs. Ask us.
Yes, but only if you want to.
Option A, Remote access (your server, your rules):
If your document management system is on your own server or NAS, you can access it from anywhere using a secure VPN connection. You control who gets access. Your data never touches our servers.
Option B, Remote access (local hosting):
We can set up a secure remote access portal on Trinidad-hosted infrastructure. Still within T&T. Still compliant with the Data Protection Act.
Option C, No remote access:
Some clients keep their system completely offline (air-gapped). No internet access means no remote access. This is the most secure option and works well for highly sensitive records.
Tell us what level of access you need. We'll configure it that way.
Two choices, you decide:
Option 1: Return them to you.
We scan everything. Box it back up. Deliver it back to you. You keep the originals.
Option 2: Secure destruction.
We shred the originals using P-5 micro-cut, the highest destruction standard available. You get a Certificate of Destruction for your records. This is the best option if:
P-5 micro-cut turns paper into confetti so small it's virtually impossible to reconstruct. It's what banks and law firms use.
Cost: Destruction starts at TT$25/lb. We weigh the boxes and quote before we shred.
That's what we're here for. Tell us what you're working with and we'll give you a straight answer, no sales pressure.
